Student Employment

The Office of Human Resources, in collaboration with the Career Center, is committed to working with University departments to support existing and evolving University initiatives related to student employment. Together, our departments provide services to hiring managers and students to support both federal work-study and University-funded employment. Our goal is to enhance student experiential education through hands-on learning and work experiences to prepare them for post-undergraduate and graduate career endeavors.

Before you start working, you will need to complete all required onboarding steps to ensure you are properly set up as a student employee. This process includes submitting federally required documentation to verify your eligibility to work in the United States, such as the Form I-9. Once these steps are complete, you will be fully authorized to begin working and receive pay. The Office of Human Resources will guide you through each part of this process to make sure you are ready for your first work day.

Note: Dining services (Chartwells) and the Bookstore are separate employers from Ģý. They each have their own Human Resources department.


Student Employment Portal

The Student Employment Portal is the centralized location for the student employee application, hiring, and job creation process. To access it, log into OnePort, click “Employment,” and then click “Student Employment.”

Students use portal to:

  • Search and Apply for Jobs
  • Complete Required Hiring Forms
  • Check Their Hiring Status

Faculty & Staff use the portal to:

  • Create an Employee Profile
  • Access Their Control Panel
  • Post Hourly and Flat Rate Job
  • Review Applications
  • Start a Hire Request
  • Check a New Hire’s Status
  • Complete the Fund Manager Review


New Student Employees

We are excited to have you join Ģý as a student employee and to support you on your journey of growth, learning, and professional development. Before any student begins working, they must complete all required hiring documents, including completing the federally mandated Form I-9. All hiring documents can be found on your  

  • Completion of the federally mandated Form I-9 is a legal requirement of the United States Citizenship and Immigration Services (USCIS) and campus policy for a student to begin working on campus.
  • Students’ online Form I-9 must be completed, and their Form I-9 Supporting Documentation must be submitted to the Office of Human Resources,or they are not legally permitted to work on-campus.
  • Supervisors of student employees cannot allow students to work until their FormI-9 has been completed.

Before you begin your new role, the Office of Human Resources in partnership with Career Services will guide you through the required clearance process. This collaboration ensures you feel supported and prepared as you start your journey at Ģý. The Office of Human Resources directly oversees the Form I-9 process. Complete Your Federal W-4 and NC-4 Tax Forms

Completing your Federal W-4, NC-4, and W-2 consent before your first paycheck helps avoid delays in payroll or tax withholding. If you have questions or need assistance, consider consulting a trained tax advisor or professional to make informed decisions.

Returning Student Employees

  • You do not need to complete the direct deposit, NC-4, W-4, and Form I-9 again, unless you are making changes or any of your documents have expired since you last completed it. If you are unsure if you have completed forms on file, you can review them via your .
  • If you are paid on an hourly basis, you need to complete your timesheet in accordance with the Bi-Weekly Payroll Schedule through Web Time Entry. For additional assistance, contact your supervisor.


International Students

If you are working for the first time with Ģý, contact the Global Studies Coordinator prior to working on campus.

If you are a new student and do not have a social security number, you will receive a letter from the Office of Human Resources/International Student Scholar offices to apply for a number with the Social Security Administration office. This letter will be prepared and emailed to you within 3 weeks of your job being approved and in Banner. Once you receive this letter, contact SSA to schedule an appointment. Failure to apply for a social security number and present it to the Office of Human Resources within 90 days will lead to termination of employment. 


Supervisors of Student Employees

Form I-9 Compliance: Before any student begins working, they must complete all required hiring documents, including completing the federally mandated Form I-9.

  • As a supervisor, you may not allow students to work until their Form I-9 has been completed.
  • Completion of the federally mandated Form I-9 is a legal requirement of the United States Citizenship and Immigration Services (USCIS) and campus policy for a student to begin working on campus.
  • Students’ online Form I-9 must be completed and their Form I-9 Supporting Documentation must be submitted to the Office of Human Resources or they are not legally permitted to work on-campus.
  • If a student employment supervisor allows a student to work prior to the completion of their Form I-9, Student Employment will notify their supervisor and division head to begin a review process to determine continued participation in student employment.


FAQs

You must bring the original document(s) for identification and/or employment authorization. The University cannot accept copied, faxed or e-mailed copies of documents.

Examples: If you have an unexpired US Passport or a Permanent Resident Card, you only need this document. If you do not have either of these documents, you will need to bring both: an unexpired government issued photo ID (i.e. Student ID, Drivers License, or Military ID) aԻ an employment authorization document (i.e. Social Security card* or Birth certificate). *Original Social Security card: If you would like to submit your social security card and do not have the original, you may apply for a card and submit your receipt until your card arrives. The Social Security Administration now has online services for residents of North Carolina available through its my Social Security portal at . If you are not a resident of North Carolina, you can use this for information on obtaining a new or replacement Social Security Card.

No. Student employees (of any type) – Federal Work Study, Graduate Assistants, Student Temporary Wage – are ineligible to receive paid vacation, sick or holiday leave, as well as, paid medical and/or dental insurance.

Students who are handling sensitive information, working with minors or animals, handling cash or cash equivalent, working with hazardous materials or driving University vehicles will be required to complete a Criminal Background Check. If you have questions, see our .

The Form I-9 and hiring packet will transfer from one student job to other jobs on campus as long as you do not have a year or more break between jobs. If you are hired as a non-student employee (faculty, staff, non-student temp) you will be required to complete additional forms.
