BookstoreThe University’s Bookstore contractor holds the exclusive right to buy, sell, rent, and distribute merchandise and services traditionally offered in university bookstores. To request approval to use another distributor for book sales, event planners must obtain approval from the Ä¢¹½´«Ã½ Bookstore in advance.

Catering & Dining ServicesChartwell’s is the University’s exclusive contracted food service provider and can meet any event need, from boxed lunches, plated meals, buffets, coffee breaks, and more. To request an exemption, please fill out the . Food orders totaling under $300 do not require completion of the exemption form.

Communications and MarketingÄ¢¹½´«Ã½ Communications and Marketing provides publicity for events that are open to the public, hosted by a University department, and expected to attract an audience of 50 or more attendees. University Users may also request photography and videography coverage via Communications and Marketing.

Emergency ManagementThe Office of Emergency Management oversees permitting and other processes related to maintaining the safety of faculty, staff, students, visitors, contractors, and the community. Event planners should work with Emergency Management to submit the Tent Permit Application and Fire Permit Application, as applicable.

Highsmith Student Union OperationsHighsmith Student Union offers a number of potential event spaces with varying setup types, capacities, and AV capabilities. To learn more about each room’s specs, or to share your desired setup information, reach out directly to the Highsmith Operations team. Reservation requests for Highsmith Student Union should be routed via WebEMS, Rocky Connect, or the External Event Request Form, as appropriate.

Laurel ForumThe Laurel Forum is a distinctive space on campus. It was established through donor support and later renovated using Honors Program funds with the clear intent that it serve students, primarily as an Honors classroom, study area, and program space, as well as for lectures, group advising, and special events that directly engage students. With that in mind, we kindly ask that colleagues consider alternative venues on campus for events that do not directly engage students or require food, drink, or significant changes to the room. Reservation requests for The Laurel Forum should be routed via WebEMS or Rocky Connect, as appropriate. |

This office oversees compliance with the Protection of Minors on Campus policy, as well as event accommodations and accessibility. |

Parking ServicesAll campus visitors are required to register for a visitor parking permit. Event planners can also request to reserve parking spaces or for assistance with parking coordination, including traffic control plans, reserved parking for VIPs, oversized vehicle parking, loading and unloading of buses, and signage. |

Pisgah AVLMany on-campus venues include their own range of audiovisual equipment, and additional resources are available to reserve via . However, for audiovisual needs outside of in-house services, the University recommends reaching out to local audiovisual supplier Pisgah AVL. |

Ramsey Library Reservations and Technology LendingRequests to reserve spaces managed by the Ramsey Library team, such as the Whitman Room, study carrels or gallery, should be routed directly to their team. Ramsey Library also offers a wide range of equipment such as cameras, camcorders, and microphones, available for checkout for Ä¢¹½´«Ã½ faculty, staff, and students at the Circulation Desk. |

| Tech Rentals: | |
Reuter Center Reservations and OLLI EventsSpace in the Reuter Center is available to Ä¢¹½´«Ã½ departments and to public organizations (who meet certain criteria) when not in use for OLLI programming. OLLI’s highest priority in assigning space is for the College for Seniors courses, then for OLLI-based programming, including special programs and meetings. The use and rental of the space is assessed on a case-by-case basis, subject to Ä¢¹½´«Ã½â€™s Use of University Space policy and to OLLI’s ability to manage and staff the event. |

Student Recreation Center (SRC) Reservations and EventsRequests to reserve spaces in the Student Recreation Center (SRC) should be routed directly to the Campus Recreation team. All reservation requests will be reviewed before reservations can be confirmed. Reservation requests must be submitted within a minimum of five business days for a meeting room reservation and a minimum of 15 business days for athletic or recreational spaces for programs or events. |

University Enterprises/Sherrill Center ReservationsRequests to reserve spaces in the Sherrill Center, including classrooms, the Ingles Mountain View Conference Room, and Kimmel Arena, as well as the Justice Center and outdoor Athletics facilities, should be routed directly to University Enterprises. |

University PoliceThe Police Department at Ä¢¹½´«Ã½ is a full-service law enforcement agency whose primary responsibility is the protection of life and property on the University campus. University Police provide event security for designated University events and, upon approval, non-Ä¢¹½´«Ã½ events that are conducted on Ä¢¹½´«Ã½ properties. The University Police Department works with the Parking & Transportation Services office to assist with parking coordination and reservations for on-campus events. |
